Privacy notice
What this website collects, why, who else sees it, and how to ask us to stop.
This page is a draft. It was written from what the website actually does and Queer Heritage South have not yet reviewed it. If anything here matters to a decision you are making, please ask us before relying on it.
Queer Heritage South is a project of Marlborough Theatre Productions, a registered
charity (no. 1145506) and the data controller for everything described here. Marlborough
Productions has an organisation-wide privacy policy
covering ticketing, membership, donations and employment. This notice covers this
website, which that policy does not.
You can contact us about anything on this page at
hello@marlboroughproductions.org.uk, or by

Road, Brighton, BN1 1UD.
The short version
You can read this whole website, including the entire archive, without telling us who you
are. We set no tracking cookies, our analytics records no IP address and nothing about
your visit is sent to an advertising company. The only personal data we hold is what you
choose to type into a form.
Browsing the site
Analytics
We use Umami, which runs on our own server rather than a company's.
It records the page visited, the site that linked you here, your country, and whether you
are on a phone or a computer. It does not set a cookie, does not store your IP address and
does not build a profile that follows you between visits. We cannot identify you from it
and neither can anyone else.
We deliberately do not record the query string, which is the part of a web address after a
?. On this site that is where search terms live, and what somebody typed into an LGBTQIA+
heritage archive is not something we want in a chart.
Our hosting provider
The site sits behind Cloudflare, which protects it from attacks and makes it faster.
Cloudflare sees the IP address of everyone who visits, because it has to in order to pass
the request on. Cloudflare, Inc. is based in the United States, so this is a transfer of
data outside the UK, made under the UK International Data Transfer Addendum.
Error reporting
When something on the site breaks we are told about it by Sentry, so we can fix it.
An error report contains the page that failed and the technical detail of the failure. It
can contain an IP address. It does not contain anything you typed into a form.
The archive itself
Images and files in the archive are served from our Omeka S catalogue at
queerheritagesouth.co.uk. Looking at an archive item tells that system the same thing
looking at any web page tells any web server.
When you get in touch
The contact form
We ask for your name, your email address, what your message is about and the message. It
is emailed to the relevant part of the project and kept so we can find it again if you
write back. Our lawful basis is legitimate interests: you have asked us a question and we
need your details to answer it.
The volunteer form
We ask for your name, email address, phone number, what you would like to help with, when
you are free, and anything we should know to make volunteering work for you. That last
field is optional and is there so we can make adjustments; please tell us only what you
want us to act on.
Signing up to the newsletter
We ask only for your email address. We use Mailchimp, which is an American company, so
your address is transferred outside the UK. You have to confirm by clicking a link in an
email before we add you, and every newsletter has an unsubscribe link that works
immediately. Our lawful basis is your consent, which you can withdraw at any time.
Booking a ticket
Booking happens on TicketSource, not here. When you click through to book you are on
their website and their privacy policy applies. This website never sees your booking, your
name or your payment details, and we deliberately do not connect to the parts of their
system that would let us.
Contributing to the archive
If you send us material through the contribute form, we ask for your name and email
address alongside what you are sending, so we can talk to you about it and credit you if
you want to be credited.
What you send goes into our archive catalogue, where our archivist reviews it. Ellie and
Siqing usually do that within three working days. Your name and email address are stored
alongside your contribution in that catalogue so we can manage it and contact you about
it. The copy on this website is deleted as soon as the catalogue holds it, so there is
never a second pile of people's material sitting here.
Your contribution is published under a Creative Commons
Attribution-NonCommercial-ShareAlike 4.0
licence. You keep ownership of it.
If we decide not to keep something, we contact you to say so and then delete it. That
happens within a month.
If you are in a photograph somebody else sent us
You can ask us to take it down and we will. That applies whether you contributed it
yourself and have changed your mind, or you have come across yourself in an image somebody
else sent. Email
archive@marlboroughproductions.org.uk.
We have a takedown policy as part of our Collections Plan.
If you have a volunteer account
Volunteers who need the handbook and our policies get an account for the volunteer hub. We
hold your name, your email address and an encrypted version of your password. Accounts are
created by us rather than by signing up, and we remove them when you stop volunteering
with us.
How long we keep things
Contact and volunteer form submissions are kept while they are useful and reviewed
periodically. Newsletter subscribers are kept until you unsubscribe. Archive contributions
are kept permanently as part of the archive, which is the point of an archive; the working
copy on this website is deleted as soon as the catalogue has it. Material we decide not to
keep is deleted within a month of us telling you.
Your rights
You can ask us for a copy of what we hold about you, ask us to correct it, ask us to
delete it, ask us to stop using it, or object to us using it. Email
hello@marlboroughproductions.org.uk and we
will reply within a month.
If you are not happy with how we have handled your data you can complain to the
Information Commissioner's Office at ico.org.uk,
or on 0303 123 1113. You do not have to come to us first, though we would rather have the
chance to put it right.
